General Data Processing Information

Affected data:

Personal data is only collected if you communicate it to us yourself. Apart from that, no personal data is collected. Any processing of your personal data that goes beyond the scope of the statutory permission is only possible on the basis of your express consent.

Processing purpose: Contract execution.

Categories of recipients: Public authorities in the event of priority legislation. External service providers or other contractors. Other external bodies in so far as the data sub-ject has given his consent or a transmission is permitted due to a prevailing interest.

Third-country transfers: As part of contractual execution, processors could also be used outside the European Union.

Duration of data storage: The duration of data storage depends on the statutory stor-age requirements and is usually 10 years.

Visits to the North American OTRS AG websites

Anyone may visit the OTRS AG websites and access information while remaining anonymous and without revealing detailed personal information. However, there are areas of the OTRS AG websites that are password protected and may require the user to enter personal information in order to gain entry. OTRS AG aims to be 508 compliant. Section 508 of the Rehabilitation Act of 1973 requires, with certain exceptions, that our Federal Customers comply with certain accessibility requirements when developing, procuring, maintaining, or using electronic and information technology. Usage of the Newsletter

When registering for our newsletter, you provide us with your email address and, on an optional basis, other information. We use these data solely for the purpose of send-ing you the newsletter. We retain the data that you disclose in your newsletter applica-tion until you cancel your subscription to our newsletter. You can unsubscribe at any time via the link in the newsletter intended for this purpose, or by sending us the ap-propriate notification. By unsubscribing, you revoke the use of your email address.

We also use your email address, which we receive in connection with the sale of a product or service, exclusively for direct advertising in the form of our newsletter for products or services that we sell that are similar to the ones you ordered, provided that you have not objected to having your email used in this way. You may object to the use of your email address at any time without incurring any costs other than the transmis-sion costs according to the basic rates. Your objection (and thus the cancellation of our newsletter) can be communicated by sending the appropriate message to our email address (see the Legal Notice).

Business Card Handling

As part of the transfer or exchange of business cards, you are providing us with personal data, such as your phone number, e-mail address, etc. We use this information primarily to keep in touch with you. In addition, we will provide you with information about our products and services. If you do not purchase products or services from our offerings, we will delete your contact details after 5 years.

You have the right to information deletion or rectification at any time.

OTRS-ID Registration

The data entered during the Free Trial registration will be used for the purpose of facilitating the offer. Users may be informed by email of information relevant to the offer, or registration, such as changes in the scope of the offer, or technical difficulties. The collected data can be seen in the input mask during registration. This includes email address, first name, surname, country, telephone number, organization, job title: these are needed for carrying out downloads, viewing FAQs or creating inquiries to the OTRS Group.

The collected data will be kept for 3 years. If there is no business relationship after this period, the data from the Free Trial registration will be deleted.

Matomo

On our websites, data is collected and stored using the Matomo web analytics software (see www.matomo.org). We operate our own Matomo instance on our own servers (on-premise), which means that no data is transferred to third parties.

The processing of the data is based on Art. 6 para. 1 p. 1 lit. f DSGVO. We thereby pursue our legitimate interest in optimizing our website for our external presentation.

When visiting the pages, access data is anonymized. Matomo does not use cookies for tracking, but works exclusively with the anonymized IP address of your device and the accessed web pages.

In addition to the accessed pages and files, data on the operating system used, browser, browser plug-ins, screen resolution, approximate location (without a specific address) and dwell time are stored, among other things.

If you have activated the “Do Not Track” option in your browser, no data from your website visit will be stored or processed by Matomo.

Use of First Party Cookies

First party cookie for reading UTM parameters. The data obtained from this is used to assign campaigns to visitors and measure the success of marketing campaigns. The data is not passed on to third parties.

Google Tag Manager

We are using the Google Tag Manager of the company Google Inc. (Google LLC 1600 Amphitheatre Parkway Mountain View, CA 94043). The Google Tag Manager itself does not store any data and is only used to manage and play out the analysis and tracking tools integrated via it.

The use of the Google Tag Manager is based on Art. 6 para. 1 lit. f DSGVO. We, as the operator of the websites, have a legitimate interest in a quick and uncomplicated integration and management of various tools on our website. Through the anonymization set by us in the Tag Manager, Google shortens your IP address in member states of the EU or other contracting states of the agreement before transferring it to the USA. In exceptional cases, Google transfers the full IP address to a US server, where it is shortened. With the shortening of the IP, a direct personal reference is excluded.

Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc. (“Google”). Google Analytics uses so-called “cookies,” text files that are stored on your computer and that allow an analysis of your use of the website. The information generated by the cookie about your use of this website is usually transmitted to a Google server in the US and stored there. However, in the event IP anonymization is activated on this website, your IP address will be shortened beforehand by Google within member states of the European Union or in other signatory states to the Treaty on the European Economic Area. The full IP address will be transmitted to a Google server in the USA and shortened there only on an exceptional basis. Google Remarketing

Google Remarketing helps us to recognize visitors to our websites within the Google advertising network (Google or partner websites) and to show them advertisements created by us based on their interests. To ensure the function of personalized ads, the behavior of visitors to our websites is analyzed.

Only in the case of active consent to marketing cookies, via the Cookie PopUp used by us, the browser used by the visitor receives a cookie which assigns certain data segments to the visitor via the behavior on our website. Google reCAPTCHA Enterprise

On our website we use Google reCAPTCHA Enterprise, a service of Google Ireland Ltd, Google Building Gordon House, Barrow St, Dublin 4, Ireland, with headquarters at Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, hereinafter referred to as “Google”. The solution is distributed to us through HubSpot.

The following data may be collected:

Google reCAPTCHA Enterprise is used to detect fraudulent activity on websites. It distinguishes between human users and automated systems (bots). In this context, the following data, among others, may be collected

1.IP address

2. technical information such as the browser used, operating system or screen resolution

3. interactions with the captcha field

The IP address is anonymized by Google reCAPTCHA Enterprise in order to exclude a direct assignment to a person. When you visit our website for the first time, Google reCAPTCHA Enterprise can create an identifier that recognizes the visitor on future visits.

Purpose of data processing

The IP address is processed to determine the approximate location of the visitor and to detect possible suspicious activities, in particular those related to spam or unwanted behavior. The technical information helps to adapt the captcha to the characteristics of the respective device and browser and to identify anomalies in usage behavior. Interactions with the captcha are used to record behavioral patterns in order to differentiate between human and automated behavior. Google reCAPTCHA Enterprise is designed to protect our forms from bots and spam, while ensuring smooth use by real users. The data collected is not used for personal identification or advertising. Transmission of the data to Google

The data is passed on to Google for verification. As Google is a global company, your data may be transferred to all countries in which Google operates. Specifically for reCAPCHA Enterprise, Google’s privacy policies applies, which includes information on data deletion.

YouTube

Our website uses plugins from YouTube, which is operated by Google. The operator of the pages is YouTube LLC, 901 Cherry Ave., San Bruno, CA 94066, USA.

If you visit one of our pages featuring a YouTube plugin, a connection to the YouTube servers is established. Here the YouTube server is informed about which of our pages you have visited.

HubSpot

HubSpot is a tool used to provide visitors to our websites and those who sign up through the HubSpot Subscription Service with content that better matches their interests. HubSpot is both a controller and processor of data.

To accomplish the goal of delivering more personalized content, the behavior of visitors to our websites is analyzed and tracked in HubSpot’s CRM database via active consent given on the Cookie PopUp. Any data provided by the user is retained in the HubSpot CRM product and is accessible to OTRS Group employees.

WalkMe

Use of WalkMe in the OTRS Free Trial

By default, WalkMe does not collect personally identifiable information (PII) other than IP addresses in logs for security purposes, end-users’ approximate geolocation (country and city in which they are located) and masked IP addresses for the ongoing operation of the WalkMe system, and assigns collected metadata to anonymous random GUID. Moreover, WalkMe collects and transfers environment properties such as browser and OS, page URL, and title.

WalkMe is accredited with the EU/Swiss-US Privacy Shield Certification by complying with a set of strict privacy principles established by the American Department of Commerce in conjunction with the European Union, and verified by TrustArc (formerly known as TRUSTe; WalkMe is TrustArc certified for data privacy).
